Who We Are

ClubScope is a service for football clubs. Coaches plan training and matches, follow up players and run their team in the ClubScope coach app for Mac. Players follow their training, matches and development in the ClubScope player app on iPhone and on the web.

The service is provided by Clubscope AS, org.nr. 937 937 644, c/o Jonathan Yrjø Rinne, Nydalen allé 23, 0484 Oslo, Norway.

Who Is Responsible for Your Data

Your club decides. When your club uses ClubScope, the club is the data controller for information about its players, coaches and staff. Clubscope AS is the data processor and handles that information only on the club's instructions, under a written data processing agreement with the club.

Where we decide. Clubscope AS is the data controller for a small set of information we need to run the service itself: downloads and updates of the coach app, support requests you send us, security and audit logs, and contact details for the people at the club we have an agreement with. We process this because it is necessary to deliver and protect the service (legitimate interest) and to fulfil our agreement with your club.

Age

ClubScope is for players aged 13 and over. Many of our players are under 18. Your account is created by your club. There is no way to sign up on your own, in either app.

What We Process

Profile: name, email address, phone number if your club adds it, position, birth date, team, role, and a portrait photo.

Health and readiness: the daily check players fill in (sleep, mood, stress, fatigue, soreness and pain), how hard sessions and matches felt (RPE), injury status and injury notes written by coaches or medical staff. We treat all of this as health data, which the law protects as a special category.

Football: attendance, match minutes, lineups, physical test results, assessment answers, development goals, and notes coaches write about players.

What you write: messages, calendar events and absence reasons.

Coach meetings: when a coach chooses to record a meeting in the coach app, the speech is turned into text while the meeting runs. The transcript and a summary are stored with the meeting. Meetings can mention players by name, including their health.

Technical: account id, IP address, sign in data, logs of use and changes, the app version, and a notification address for your device if you say yes to notifications.

No Tracking, No Ads

We do not track you across apps or websites, we show no advertising, and we never sell information about you. Neither app contains analytics or advertising tools.

When We Use AI

ClubScope uses AI in a few places. In every case a person reads the result, and no decision about a player is made by a machine alone.

Development goals. When a coach sets development goals, a player's position, age, assessment answers and what the coach has written about the goals are sent to Google Gemini, which suggests what the player could work on. We do not send name, email address or birth date. The coach reads and approves the suggestion before the player sees anything.

Aegis, the coach assistant. Coaches can ask Aegis questions about their team. To answer, Aegis can read team data the coach already has access to, which today can include player names, daily readiness and injury notes. The question and that data are sent to Google Gemini. Only coaches use Aegis; players do not see it.

Meeting summaries. When a coach records a meeting, the transcript is sent to Google Gemini to write a summary.

How it reaches Google. Some of these requests go directly to Google. Others, including meeting summaries, go through Lovable, a service that forwards the request to Google. Speech to text for meeting recordings is done by ElevenLabs, streamed from the coach's device while the meeting runs.

What is planned. We plan to move all AI processing to one route, directly with Google in the EU (Vertex AI), and then stop using Lovable. Your club will be told before that change, as our agreement requires.

Who Sees What

Coaches and staff on your team see what the club needs for follow up: status, readiness, load, attendance, injuries, goals and assessments. What each role can see is set by the club. Teammates see you the way a squad does: name, position, photo and team lists. Messages are seen only by the people in the conversation. Clubscope AS staff do not look at club data except to fix a problem the club has asked us to fix, or to keep the service secure.

Where Your Data Lives and Who Helps Us

Your data is stored with Supabase in the United Kingdom (London). The EU has decided that the United Kingdom protects personal data adequately, so storage there is lawful on the same basis as within the EEA.

These providers process data on our behalf. All are bound by written terms that limit use to delivering the service.

Notifications in a web browser are delivered through the browser maker's own push service (for example Google, Mozilla or Apple).

Match statistics and fixtures come into ClubScope from public football data providers. We send them team and match numbers, never information about you.

The Coach App on Mac

The coach app is downloaded from get.clubscope.dev. It checks our download server for updates, which shares your IP address and the app version with that server. The app stores what it needs to keep you signed in on your computer. It does not send crash reports or usage analytics.

How Long We Keep It

We keep your data for as long as you have an account and your club uses ClubScope. If your club stops using the service, everything about its people is deleted within 90 days, unless Norwegian law requires longer storage. Meeting transcripts are kept until the coach deletes the meeting or the club stops using ClubScope. Backups follow our storage provider's cycle. We may keep anonymised statistics: numbers that can no longer be connected to you or anyone else.

Your Rights

You can see your own information in the app at any time. You can ask for errors to be corrected. Players can delete their account themselves in the player app under Me, Account, Delete account. Deletion happens immediately and is permanent: your profile, logs, answers and messages are removed, and technical logs are anonymised. Your club keeps its own team records, such as fixtures and results.

You also have the right of access, the right to data portability, the right to object, and the right to complain to Datatilsynet, the Norwegian Data Protection Authority. Because your club is the data controller for most of your data, many requests are best sent to the club. If you send them to us, we will pass them on and help the club answer.

Contact

Privacy questions: benjamin@clubscope.dev. If you are under 18, a parent or guardian can contact us on your behalf. You can also contact your club. For everything else, see our support page.

Changes

When we change this policy, we update the date at the top. If a change matters for how your data is handled, your club is told first.
